How to Arrange Glasgow Travel for Employees, Clients and Visitors

Arranging travel for someone else carries a different kind of pressure. You need the passenger to know where to go, the driver to have the right information and the business to have a clear record afterwards.

Whether you are coordinating an airport arrival, a day of meetings or a late journey after an event, a little structure makes the experience easier for everyone.

Start with the full journey, not just the pickup

Before booking, confirm the passenger’s name and mobile number, pickup and destination, required arrival time, luggage, number of passengers and any additional stops or needs. For visitors, include the name of the office, hotel or venue contact they are meeting.

Airport arrivals

For Glasgow Airport arrivals, share the flight number and tell the passenger which designated pickup point will be used. Myle monitors incoming flights, but passengers should still report delays at baggage reclaim or border control because these may not appear in flight information.

Meet-and-greet can be arranged when booking. If a driver is asked to enter the airport and wait inside, additional parking charges and waiting time of 50p per minute may apply.

Meetings and office travel

Allow realistic time between appointments and identify a clear pickup point, especially at buildings with several entrances. If the schedule includes multiple stops, provide them when booking so the route and fare can be planned correctly.

Hotels and visiting clients

Confirm whether the passenger will wait in reception or outside, and ensure the hotel has the passenger’s correct name. Send the passenger the booking confirmation and explain when driver details will become available.

Use delegated booking for smoother administration

A Myle corporate account can allow an authorised person to book for staff, clients and visitors. Accounts can support multiple users or departments, administrator permissions, spending limits, journey reporting and monthly invoicing.

This reduces the need for visitors to download an unfamiliar app or pay personally, while giving the organisation a clearer travel record.

Build a simple communication plan

  • Tell the passenger who has made the booking and how they will receive confirmation.
  • Share the pickup point in plain language.
  • Explain that a specific driver is confirmed after dispatch.
  • Keep the organiser’s contact details available for changes.
  • Ask the passenger to report delays as soon as possible.
